DIGITAL HR

Before choosing an HR system, ask these questions

A new system does not automatically clarify roles or fix unstructured data. Start by understanding the work you want to improve, then define what the solution must enable and how users will test it.

Which process needs to improve?

Choose a real journey, such as onboarding or request approval. Map it end to end and identify waiting time, repeated data entry and unclear approvals. Design the intended workflow before turning it into technology requirements.

  • Include the people doing the work and approving its outputs.
  • Separate essential needs from optional improvements.

Are data and responsibilities ready?

Identify the source of each data item and who maintains it. Review data quality, access roles and integration boundaries. Do not assume an integration is available before checking its technical and contractual requirements.

  • Define read, edit and approval permissions for each role.
  • Plan data cleansing and validation before migration.

How will we know implementation works?

Translate requirements into acceptance scenarios reflecting real work, including exceptions and rejections. Agree training, support and issue ownership, then compare the new experience with your baseline.

  • Test with users representing different roles.
  • Track adoption and usability issues after launch.
TAKE THIS WITH YOU

Start with a clear process, usable data and defined responsibilities. Technology selection can then be grounded in needs that can actually be tested.
